Medius provides accounts payable automation and business spend software. This Medius review examines its AP Essentials and AP 360 packages, ERP integrations, supplier payments and buying considerations. It is most relevant to finance teams replacing manual invoice work or coordinating approvals across business entities, with pricing established through a custom quotation.

Our assessment

Medius is worth evaluating when invoice processing involves repeated data entry, matching and approval handoffs. Its broader suite can connect those tasks to supplier and purchasing workflows. The buying decision depends on the ERP connection, entity coverage and implementation scope. Ask for a demonstration using representative invoices and exceptions before accepting efficiency projections. This review assesses published capabilities; it does not report hands-on processing accuracy, payment execution or measured savings.

The Essentials listing includes Standard Support. Confirm the support arrangement for your proposed configuration rather than assuming equivalent response commitments across packages.

Payments, procurement, sourcing, supplier onboarding, expense management and contract management can be added at extra cost. Do not treat the full product catalogue as included in either base package. Ask sales to define additional entities, invoice-volume allowances and any regional differences in writing.

Conditions

AP Essentials

One entity. Confirm entity coverage and ERP configuration in the written scope.

AP 360

Three entities. Confirm entity coverage and ERP configuration in the written scope.

Define the ERP connection precisely

Medius lists managed integrations for ERP families including Microsoft, Oracle NetSuite, Oracle JDE, Oracle Fusion, Infor and SAP. REST API and custom integration options are also available.

An ERP brand name is insufficient to confirm compatibility. Provide your version, hosting arrangement, custom fields and entity structure. Agree which system owns supplier records, how invoices and payment statuses synchronise, and who resolves failed transfers.

Test exceptions before production

The AP workflow supports invoice capture, matching against purchasing or receipt information, and approval processing. Its usefulness depends on the records and rules supplied to it.

Include missing purchase orders, partial receipts, credit notes and duplicate submissions in acceptance testing. Decide which exceptions require a reviewer and who can change approval or supplier-bank rules. Automation should follow those decisions rather than conceal unresolved responsibilities.

Keep payment coverage separate

Medius Payments lists US methods including ACH, check, wire and virtual cards; its European examples include SEPA, BACS, CHAPS, BankGiro and wire. These regional examples do not establish availability for every entity, currency or supplier.

Confirm the applicable payment service, onboarding checks, banking arrangements and supported destinations before including supplier payments in your rollout.

Compare a complete written quotation

No fixed monthly amount was verified on the reviewed pricing page. Request a breakdown of the software subscription, additional applications, entities, implementation, integration work, training and ongoing support. Establish whether each item is included, separately charged or outside scope.

Where payments are required, request the applicable transaction and currency-conversion charges. Clarify contract length, renewal pricing, invoice-volume changes, cancellation and data export before signing. This review does not establish standard refund terms or a universally available free trial.

Measure savings against your own baseline

Potential value comes from reducing processing effort and improving control over outstanding invoices. Estimate it using your invoice volume, handling time, exception rate and payment-error costs, then deduct the full implementation and recurring expense.

Product demonstrations and customer examples are useful evaluation material. They do not establish the savings your organisation will achieve.

Detailed analysis

Matching is useful when purchasing data is reliable

Medius describes matching invoice lines against purchase orders, goods receipts and contracts. This can focus reviewers on discrepancies instead of routine comparisons. However, missing receipts or inconsistent supplier records still need an owner. Evaluate the exception queue alongside the proportion of invoices processed automatically.

AI and fraud alerts need accountable reviewers

Copilot and Supplier Conversations extend the suite into approval assistance and supplier enquiries. The separate Fraud & Risk Detection product identifies patterns such as duplicate invoices, unusual amounts and supplier-detail changes; its documentation states that Medius AP Automation is required.

Treat an alert as a reason to investigate. Define escalation, false-positive handling and independent approval for sensitive changes. A product’s fraud-detection capability does not guarantee that every fraudulent instruction will be blocked.

Implementation and data handling deserve equal attention

The rapid-deployment page describes a four-to-six-week approach, while the homepage gives an eight-to-twelve-week average go-live statement. These are different marketing scopes, so neither should become a delivery promise for your project. Obtain a dated plan covering configuration, data preparation, testing and responsibilities.

The Trust Center describes role-based access, Azure hosting and security documentation available for review. Request evidence applicable to the purchased service, including hosting location, subprocessors, retention and access controls. Public security statements do not constitute an independent security audit by Traxde.

Strengths

  • Two published AP packages make entity and feature differences easier to compare.
  • Managed and custom integration approaches accommodate different system requirements.
  • Optional applications allow purchasing and supplier workflows to extend beyond invoice processing.

Limitations

  • Quote-based pricing prevents a direct public comparison of total ownership cost.
  • ERP fit, data quality and exception handling require implementation work.
  • Payment coverage and additional-module charges need separate confirmation.

Updates

  1. Traxde editorial review

Checked the published package comparison, integration options, payment-method examples, fraud-product dependency and implementation statements. Distinguished included AP functionality from paid additions. This date records editorial verification rather than a claim that Medius changed every listed feature today.

FAQ

Does Medius replace an ERP?

The reviewed offering connects AP and spend workflows to ERP systems. Confirm which records remain in your ERP and how accounting entries return to it. Do not assume the subscription replaces your existing finance system.

Are unlimited users the same as unlimited scope?

No. Both packages list unlimited users, but their included entity counts differ. Applications, integrations and other contractual limits still need confirmation.

Is Medius Payments included in the AP subscription?

The pricing page lists Payments among solutions available at additional cost. Confirm the commercial package and regional payment coverage in your quotation.

Can I try it without purchasing?

Medius offers product demonstrations and a sales-led demo request. A demonstration does not establish access to a free production trial; ask what environment and test data are available for evaluation.

Restricted Countries & regions

Checked 23 Oct 2026

A complete platform-wide restricted-country list was not verified in the reviewed public material. Software availability, payment-service coverage, local invoicing requirements and contractual eligibility are separate questions. Confirm them for each operating entity and supplier destination; regional payment examples are not an exhaustive country list.
